Deposit
A booking deposit of £150 (per week of hire) is payable at the time of making a reservation and will be deducted from the total hire charge. Payment for the remaining balance is due six weeks before the date of hire. If the balance is not paid when due, Brookes Motorhome Hire reserves the right to cancel the booking.
Methods of payment include visa debit, cheques with 10 weeks clearance time or BACS.
Security deposit
A £500 security deposit must be paid by the collection date and must be cleared funds if made on the day of collection. Methods of payment include visa debit, cheques with 10 weeks clearance time or BACS.
*Security Deposit Refunds
Deposits are refunded in full provided that the vehicle is returned with a clean interior, undamaged (interior & exterior) and returned before/on due date and time.
Cleaning the motorhome before you return it
When the motorhome is returned only the interior needs to be in a clean condition. The exterior does not need to be cleaned.
*IMPORTANT: A motorhome with an interior that requires excessive cleaning (e.g. dirty utensils etc) will require valeting at a single rate of £50 and this will be deducted from your deposit.
Collection
On collection of the motorhome, the following paperwork must be presented for all persons intending to drive the vehicle during the rental period:
- A valid full UK driving license (address and name must be up to date)
- Online license check code obtained via https://www.gov.uk/view-driving-licence
- Cleared traceable security deposit of £500 (BACS or credit/debit card. Only one deposit required to cover all drivers. This can be done on or before the collection date)
- Signed rental agreement
- Two forms of proof of address – both must be dated within 90 days of the hire date and the address & name on the license must match both documents. See below for requirements.
The follow documents are required to be presented in addition to the drivers license:
• 1 utility bill / statement
• 1 of the additional documents listed below
What can be accepted as a utility bill/statement:
- Utilities are as follows: Electricity, Water, Gas, Broadband, Council tax or Landline
What can be accepted as an additional document:
- TV/internet bill (Including Sky/Virgin/BT etc.)
- Bank or credit card statement
- Mortgage/pension statement
- HMRC & DWP documentation is acceptable in addition to one valid utility bill/utility statement
What documentation will be rejected:
- Any document relating to insurance
- Mobile phone bill
- Any document that does not meet the above mentioned criteria – please contact us in advance, if you are unsure.
We cannot accept copies of any driving licence, debit/credit card, or documentation. Please ensure each driver brings their original documents as identification.
Copies off all documents presented will be made prior to departure.
IF YOU CANNOT PROVIDE THE ABOVE REQUIRED IDENTIFICATION AND METHOD OF PAYMENT, YOU WILL NOT BE ABLE TO HIRE A VEHICLE AND YOU WILL LOSE THE FULL DEPOSIT & HIRE THAT HAS BEEN PAID TO US. We accept no liability for you not providing the correct identification or a driver that does not fit our driver criteria.
Drivers
Drivers must be aged between 25 and 75 years of age and have held a full Driving Licence for at least one year. The licence must be unendorsed (except for speeding offences up to 6 points) and be produced at the time of collection of the vehicle. Proof of identity must be produced at the beginning of the hire.
Drivers meeting ANY of the below restrictions are not permitted to drive the vehicle at any time:
- under the age of 24 or over 75 years of age.
- has not held a full UK or EU licence for a minimum of 2 years.
- has had their licence suspended for any period within the last three years.
- has been involved in more than one fault incident within the last three years.
- has more than two convictions with a maximum of 3 points per conviction.
- has obtained a BA, DD or UT conviction.
Minimum hire period
For UK use 3 Days, continental use 2 weeks. All UK hires not to be more than 90 days. Maximum EU hire not to be more than 30 days.
Collection and return
Collection and returns can be Monday to Saturday between the hours of 9am – 4pm. The collection and return time will be agreed in advance.
Returns policy
As part of the terms and conditions, it is imperative the motorhome is returned – on time, fuel refilled and presentable.
If this is not adhered to, an extra 24 hour rental charge will be applied. If due to unforeseen circumstances, the return time is not going to be met, please ring the office on 01684 594432 or 07531600840 as soon as possible as any delays cause a knock on effect to our business.
Cancellation / no show
The following charges will apply if a reservation is cancelled:
Cancellation 6 weeks or more before the start of hire: Loss of deposit
Cancellation between 6 and 4 weeks before start of hire: 40% of hire charge
Cancellation between 4 and 2 weeks before start of hire: 70% of hire charge
Cancellation less than 2 weeks before start of hire: 100% of hire charge
No-shows: no refund for no-shows except for late arrivals policy as below.
COVID 19
If the country is put into a full national lockdown, and you are unable to take hire of the motorhome, the balance of monies paid will be refunded in full.
The deposit will be retained by ourselves but be fully transferrable to a later date (within 2 years).
If you are out on hire and need to return early due to a lockdown, the days not taken will be converted monetarily and be transferred to a later date.
Late arrivals
If your collection is put back the hire period remains the same and cannot be extended. Collection out of hours can be made by arrangement.
Late returns
Failure to return on time will incur a penalty charge of £300 per day. Failure to return during opening hours on the last day of hire means the vehicle is not insured and therefore drivers are liable to criminal prosecution. If you are going to be late, please call us and let us know.
Availability
If due to circumstances beyond our control the vehicle reserved is not available, the liabilities of Brookes Motorhome Hire will be limited to the refund of any monies paid for the hire of the motorhome only.
Motoring offences
The hirer is responsible for any motoring offences and any subsequent fines or penalties incurred during their hire period.
Cancellation by Brookes Motorhome Hire
Brookes Motorhome Hire reserve the right to cancel the hire if at the time of collection the nominated drivers’ licences are invalid or proofs of ID are not in accordance with the terms and conditions. Provisional Driving Licences are not acceptable. In these circumstances all monies paid by the hirer (except the refundable security deposit) will be forfeited to Brookes Motorhome Hire.
Toilets
Un-emptied toilets will be charged at £50 for emptying and cleaning. Refunds are paid after cleaning and inspection of the returned vehicle but within 10 days of termination of the hire.
Oil, water and toilets
Daily checking of the oil, water and tyre pressures are the responsibility of the hirer and will be responsible for any accident, breakdown or damage resulting from failure to keep levels to an optimum level.
Windscreens and tyres
You are responsible for any damage to windscreens and windows, punctures or other damage to tyres during the period of the hire. Where possible it should be repaired or replaced as appropriate and paid for by you at the time. You should contact us to seek instructions before carrying out the repair. Failing this, an amount will be deducted from your deposit against damages for the cost of the repairs.
Fuel
Fuel is at the Hirer’s expense and not included in the hire charge. Our fuel policy is “full tank out, full tank back” and it is the Hirer’s responsibility to put the correct fuel in the motorhome, which is DIESEL. The Hirer will be liable for all repair and replacement costs incurred as a result of using the wrong fuel and Brookes Motorhome Hire will offer no refund or pay compensation for loss of use by the Hirer whilst the vehicle is off the road as a result. This also includes fuel being placed into the water tank. Any refilling required upon return of the vehicle will be deducted from the Security Deposit.
It is the hirers responsibility to put the correct fuel in the motorhome (diesel) The hirer is responsible for reimbursement of damages to the motorhome should the wrong fuel be used. Full tank out… Full tank back!
Re-fuelling fee
If the motorhome is not returned with a full tank you will be charged a refuelling fee of £15 inc VAT
Insurance
Comprehensive insurance is included in the hire charge. Hirers are advised to arrange their own personal effects and travel insurance. The vehicle is only insured for the hire period and therefore the driving of the vehicle after the expiry of the contract period may result in the driver committing a traffic offence. Furthermore the hirer is entirely responsible for any accidental damage, injury and consequential loss after the expiry of the hire period.
Breakdowns
In the event of a breakdown or accident, recovery services are at the disposal of the hirer. Instructions for replacements, at a cost not exceeding £50 may be given by the hirer, who will be reimbursed on the production of receipted invoices.
Company approval must be obtained in respect of repairs/replacements in excess of £50. Brookes Motorhome Hire is not responsible for hotel or any other consequential expenses subsequent to a breakdown but will refund the hire charges for any complete days loss of use of the vehicle.
Every effort is made to ensure that the vehicle is in a safe and roadworthy condition before it leaves our premises, but Brookes Motorhome Hire shall be under no liability for third party claims or damages in connection with, or subsequent upon, any accident or breakdown.
In the event of an accident involving the vehicle a completed Accident Report Form must be handed to Brookes Motorhome Hire at the termination of hire.
Flood damage
Any driver causing damage or loss caused by driving through flood water will automatically be liable for the full cost of repair and the cost will not be subject to limitation.
Equipment
All motorhomes are supplied with cooking utensils, crockery and cutlery, gas bottles, toilet chemicals, bedding and towels.
Parking
You may leave your car in our secure compound while you are away. All vehicles however are left entirely at your own risk and we accept no responsibility for any loss or damage which may arise.
Smoking policy
There is absolutely no smoking in the motorhome at any time and the hirer is responsible for reimbursement of cleaning or repairing the motorhome due to cigarette/cigar smoke contamination or heat damage.
Pet policy
We do not accept pets into the motorhome.
Additional costs
Security Deposit (refundable) £500
European Travel Pack and Breathalyser kit (if required) – £40
European Travel Pack includes headlamp adjusters, reflective safety vests, warning triangles, first aid kit, tool kit and breakdown assistance contact numbers (Legal requirement for European travel).
Disclaimer
Brookes Motorhome Hire reserves the right to vary rates and conditions of hire and to refuse to hire to any person without giving a reason.
